What a Space is in practice

A Space is a room with a member list and a tool set. People only see the Spaces they belong to. The New York store roster should not drown Boston. The Managers room should not leak private files into the Everyone feed.

In practice that means:

• Everyone — company announcements, policies, brand-wide Events

• One Space per branch, store, floor, line, or job site — the roster, punch, forms, and files for that place

• Managers — planning posts, private files, coverage that frontline should not see

You turn tools on per Space. A quiet Managers room does not need Clock In. A night warehouse floor does not need the same News Feed volume as Everyone. That is the whole point of the Settings → Features surface for each Space.

Create Everyone + branch / site Spaces

Open Spaces from admin (web is where most setup happens). Create rooms that match how the org already thinks — not a product SKU list.

A solid default for an 11–80 person frontline-plus-office team:

• Create Everyone first — name it clearly, keep membership broad.

• Create one Space per branch, store, site, floor, or line you actually run.

• Create a Managers Space for people who should see planning and private files.

• Skip temporary event pods until week two — get the permanent rooms right first.

Do not create fifteen empty rooms “just in case.” Empty Spaces train people to ignore the sidebar. Start with the rooms that already have a roster and a punch.

Unlimited Spaces do not change the invoice. Twenty-five people with five Spaces still pay for twenty-five people. Multi-site meter honesty: multi-location scheduling without per-location fees.

Add members and Space admins

Invite people with a link (phones first — that is where the floor lives). Then put each person in the Spaces they actually work in.

• Members see the Space tools you enabled for that room.

• Space admins (where you grant them) can manage that room’s membership and day-to-day setup without owning the whole company workspace.

• Someone can belong to more than one Space — a relief who covers two stores, a lead who sits in Managers and Line 2.

Keep membership honest. If Boston staff sit in New York’s Space “for visibility,” you rebuild the WhatsApp problem inside Pebb. Cross-site talk belongs in org-wide Team Chat, not in stuffing every Space with every person.

Turn features on per Space

Open the Space → Settings → Features (or the equivalent feature toggles in admin). Enable only what that room needs.

Common patterns:

• Frontline site / store / floor: Shifts, Clock In, Files, Forms (Premium), maybe Events

• Managers: News Feed, Files, Tasks, Wiki / Knowledge Library

• Everyone: News Feed, Wiki, Events

• Ops / project pod: Tasks, Files, Forms, Events

Space tools you can turn on when the plan includes them: News Feed, Shifts, Clock In, Tasks, Files, Wiki / Knowledge Library, Digital Forms, Events (and photos/links where enabled). You are not buying a second product each time you flip a toggle.

Leave tools off on purpose. A Managers room with Clock In on is noise. An Everyone Space with every store’s shift board is how people stop opening the app.

What stays org-wide (outside Spaces)

Three surfaces stay outside the Spaces view on purpose:

• Team Chat — 1:1 and groups on Basic ($2.50); voice/video calls on Premium ($4). You can start a chat from a Space, team, or branch when the member list is already right — the conversation is not trapped in that room forever. Detail: how team chat works in Pebb.

• Time Off — leave lives org-wide on Premium, so PTO does not fragment inside one store’s room.

• People Directory — the company directory is company-wide, not per Space.

That split is the product bet. Rooms hold the work objects (roster, punch, forms, files, feed). Chat and leave stay findable across the company without a Messaging+ hub invoice or a per-location leave desk.

A week-one setup path

Do this in order. Do not rip three tools mid-week.

• Day 1 — workspace + Everyone + Managers. Invite admins. Create those two rooms first.

• Day 1–2 — branch / site Spaces. One room per place you actually schedule (“Store 12,” “North Floor,” “Line 2”).

• Day 2 — feature toggles. Frontline: Shifts + Clock In (+ Forms/Files on Premium). Managers: Feed + Files + Tasks/Wiki. Everyone: Feed + Wiki/Events. Turn the rest off.

• Day 2–3 — members. Invite with a link. Put each person only in Spaces they work.

Honest limits

Read these before you migrate:

• No free plan. Budget Basic ($2.50) or Premium ($4) seats. Evaluate with the full trial, no card.

• Spaces are rooms, not billed hubs — and also not a second product. You still configure membership and toggles; empty rooms help nobody.

• Chat, Time Off, and Directory stay org-wide. Do not expect PTO to live only inside Store 12.

• GPS is a stamp ± near-branch on clock-in — not live breadcrumbs or a tracking map.

• No payroll, LMS, or ATS. Export timesheets toward payroll; keep hiring and training systems of record elsewhere.

• Mobile needs a connection. Offline does not fully work.

• Not demand forecasting or Fair Workweek auto-compliance. If that is why you bought a specialist scheduler, keep that requirement on the table.
