Copy into Excel or Google Sheets. One row per person. Fill hours worked and your rates. Change the OT threshold if your jurisdiction or contract is not a simple weekly cutover.

Formulas (plain English)

  1. OT threshold (T) — hours that still count as regular in the week. Example planning default: T = 40. Replace with your rule.

  2. Regular hours = MIN(hours_worked, T)

  3. OT hours = MAX(hours_worked − T, 0)

  4. Regular pay = regular_hours × regular_rate

  5. OT pay = ot_hours × ot_rate (Many teams use ot_rate = regular_rate × 1.5 as a planning default — verify your multiplier; do not invent a legal rate from this page.)

  6. Gross wage estimate = regular_pay + ot_pay

  7. Rough labor cost (optional) = hours_worked × loaded_hourly_cost (Loaded cost is your figure: wage + burden you already use internally. Never invent a wage table here.)

How to run one week

  1. Export or list hours worked per person (from timesheets, punches, or your current sheet).

  2. Set T to your weekly threshold (or leave blank and compute daily OT separately if that is your rule — this grid is weekly-first).

  3. Fill regular and OT rates from payroll or finance — not from a blog.

  4. Sum OT hours and OT pay for the ops conversation (“we burned 22 OT hours”) before payroll locks numbers.

  5. Hand the export to payroll. This worksheet is not the paycheck.
