Employee App for Nonprofit & Volunteer Teams: Spaces, Shifts, Updates
James Dean

Nonprofit weeks do not fail because nobody believes in the mission. They fail because the staff roster lives in one tool, the volunteer shift board lives in another, the program update is a Facebook post, and the real conversation is still WhatsApp. The program manager texts the site lead. The remote volunteer never sees it. Monday’s opener inherits a private thread they were never in — and the food-drive exception still has no owner.
Pebb is an all-in-one employee app built for that mess — a Connecteam-class daily surface without stacking hubs. You pay per person, not per chapter and not per product. [Basic is $2.50 per user per month](https://pebb.io/pricing) for team chat, shift scheduling, GPS clock-in, timesheets, and a directory. Premium is $4 and adds voice and video calls, a news feed, Time Off, tasks, digital forms, a wiki, analytics, and SSO. Unlimited Spaces on both plans — one Space per program, chapter, or site, one Coordinators Space for people who should see everything. Chat is org-wide outside Spaces. There is no free plan. Trial is the full product, no credit card.
This page is for 11–80 person nonprofits and hybrid staff–volunteer teams that outgrew a group chat and a spreadsheet. If you need a donor CRM, grant management, live GPS breadcrumbs, a dedicated LMS, hiring ATS, or payroll processing, say that up front — Pebb does not sell those. Keep those desks. Use Pebb for who’s on, clock in, own the task, publish the update. Pebb stays an employee app — it does not pivot into a fundraising suite.

What nonprofit and volunteer teams actually need day to day
Not a second intranet for the development office — the phone surface staff and volunteers already live on.
**Who’s on this program this week** — published staff and volunteer shifts, plus open shifts people can pick up without a text chain when a no-show hits.
- **Clock-in at the place (when the place matters)** — a GPS stamp on the punch, with optional near-branch validation. Stamp plus optional near-site check — not live breadcrumbs.
- **Discrete owned tasks for remote volunteers** — named owners, due dates, and files in the right Space so research or outreach does not vanish into a group chat. Premium tasks are for ownership, not a project-management pivot.
- **Updates that reach the whole org** — news feed on Premium so program changes and weather closures live next to chat instead of a Facebook page nobody checks.
- **Talk without leaving the app** — org-wide chat on Basic, calls on Premium, so WhatsApp is not the real OS for coverage gaps.
- **A room per program, chapter, or site** — Spaces for Food Drive, After-School, Chapter North, and Coordinators. Spaces are unlimited — not billed hubs. More: [What are Pebb Spaces?](/blog/what-are-pebb-spaces).
- **Forms and leave where they belong** — incident checks and photo forms on Premium; Time Off org-wide on Premium for staff against the roster.
That is the job. Fundraising pipelines, course libraries, and applicant tracking are different jobs.## Leaving Meta Workplace carefully — and why hub stacks still hurt
Many mission teams used Meta Workplace as the internal Facebook for work. When that product wound down, plenty of nonprofits became Workplace “refugees”: they needed daily chat and updates without rebuilding on consumer Facebook groups or free Slack workspaces. Treat that search carefully — Pebb is not Meta, not a social network, and not a donation page. It is an employee app for who’s on, clock-in, owned tasks, and org updates.
Those same teams often arrive with a Connecteam quote, a Homebase quote, or a WhatsApp-plus-scheduler stack. Connecteam sells Operations, Communications, and HR & Skills as hubs — Advanced is about $49 for the first 30 users per hub on annual billing past free for 10; extra users meter per hub. See [Pebb vs Connecteam](/blog/pebb-vs-connecteam) and the [Connecteam alternative](/blog/connecteam-alternative). Homebase prices paid plans per location — wrong meter for three chapters. Deputy is a strong compliance scheduler; richer chat is often Messaging+.
Pebb’s bet: one seat count, unlimited Spaces, chat on Basic, ops next to chat. Chapter two is a Space, not a new SKU. Same stack problem in [warehouse](/blog/warehouse-team-employee-app), [construction](/blog/construction-crew-employee-app), and [security](/blog/security-guard-employee-app).

Spaces mapped to programs, chapters, and remote owners
Think in rooms, not products.
**Food Drive / Saturday site** — shifts, clock-in, forms, files for that volunteer crew only.
- **After-School / Weekday program** — same tools, different member list. The Saturday closer does not drown in weekday posts.
- **Remote / Research & outreach** — discrete owned tasks, files, and a quiet feed for volunteers who never set foot on site.
- **Coordinators** — feed, private files, coverage planning without the whole volunteer list in the thread.
- **Everyone (optional)** — policies, handbook wiki links, all-hands updates.
People only see Spaces they belong to. Chat stays org-wide outside Spaces. Time Off stays org-wide on Premium for staff. Turn tools on per Space. Full walkthrough: [What are Pebb Spaces?](/blog/what-are-pebb-spaces).
A week on a nonprofit team in Pebb
Monday the program lead publishes next week’s volunteer roster into two site Spaces; open shifts sit for pickup. Tuesday a site volunteer clocks in with a GPS stamp and near-branch validation. Wednesday a Premium task lands in Remote — research list, due Friday, named owner, file attached. Thursday Time Off on Premium shows against staff rosters; a news-feed update covers a weather closure for Everyone. Friday timesheets close toward payroll for paid staff; a Premium coordinator can call from the thread when a Saturday lead is late. The handoff lives in the Space.
Pricing for an 11–80 person nonprofit or volunteer org
USD. No free plan. Full trial, no card.
**10 people:** Basic $25/mo. Premium $40/mo.
- **25 people:** Basic $62.50/mo. Premium $100/mo.
- **40 people:** Basic $100/mo. Premium $160/mo.
Spaces do not change those numbers. Count seats for people who use the app (staff plus active volunteers), not every past mailing-list signup. Details on [Pebb pricing](https://pebb.io/pricing).
**Basic is enough** for chat, shifts, clock-in, timesheets, and a directory. **Premium** for calls, news feed, PTO, tasks, forms, wiki, analytics, and SSO. Buy Premium when remote volunteers need owned tasks and the org needs a real updates feed.
Honest limits (read these before you switch)
Pebb will not replace every tool on a nonprofit desk.
**No payroll.** Timesheets leave the building. Payroll stays payroll.
- **No LMS and no hiring ATS.** If courses and recruiting pipelines are load-bearing, keep your training stack. See the [Connecteam alternative](/blog/connecteam-alternative) for when to stay.
- **No donor CRM and no grant desk.** Fundraising and grant reporting stay where they belong.
- **GPS is a stamp, not a map of the afternoon.** Clock-in can GPS-stamp and optionally require near a branch — not live breadcrumbs.
- **Offline does not fully work.** Mobile needs a connection. Rural sites and basements with no signal are a real reason to keep a tool that caches a full shift.
- **No fake “10k nonprofits” or star ratings on this page.** Judge the trial on your programs.
Mission buyers smell overclaim when a clock stamp is sold as impact measurement — or when an employee app pretends it is also the CRM.

Who should stay on a specialist nonprofit stack
Stay on a dedicated volunteer LMS / onboarding product if courses and compliance quizzes are why you opened the current app and you will not keep a separate training desk. Pebb has no LMS.
Stay on your donor CRM / grant system for fundraising and reporting. Pebb is the employee and volunteer daily layer — roster, punch, chat, owned tasks, updates — not the system of record for donors.
Stay on payroll for tax filing and wage rules. Pebb exports timesheets; it does not run payroll. Stay if hiring ATS pipelines for staff recruiting are load-bearing.
Stay if live GPS breadcrumbs, a large geofence library, or full offline clock-in are non-negotiable. Stay if you are still under 10 on a genuinely free all-hubs plan — or if you only need a compliance scheduler and already solved chat. If the CRM desk is specialist-deep and chat is already solved, you may not need us.
Everyone else running WhatsApp as the real program office should price Basic or Premium for the same headcount before renewal. Deeper math: [Pebb vs Connecteam](/blog/pebb-vs-connecteam). Setup without a six-week IT project
Create a workspace. Invite with a link — phones first. Make a Space per active program, chapter, or site. Put shifts and clock-in on the site Spaces. Make a Coordinators Space for people who should see everything. Add a Remote Space if discrete owned tasks need a quiet room. Chat is already org-wide outside Spaces.
Run one week in parallel with WhatsApp muted for that program if the coordinator agrees. Expand Space by Space when Food Drive works — do not rip three tools mid-campaign. Trial is the full product, no credit card. Prove the remote volunteer owned the task and the Saturday closer saw the update, then open After-School.
FAQ
**Is Pebb a nonprofit-only app?**
No. Same app as [warehouse](/blog/warehouse-team-employee-app), [construction](/blog/construction-crew-employee-app), and [security](/blog/security-guard-employee-app).
**Do we pay per chapter or program?**
No. Per user. Chapters and programs are Spaces — unlimited on Basic and Premium.
**Does GPS mean we track volunteers all day?**
No. Punch can carry a GPS stamp and optional near-branch check. Not live tracking.
**Is this a Meta Workplace replacement?**
It can cover org chat and updates Workplace users often needed — without pretending to be Facebook for work or a donor page.
**Does Pebb replace our CRM, LMS, or payroll?**
No. Keep donors on the CRM, courses on the LMS, payroll on payroll. Use Pebb for roster, owned tasks, chat, clock-in, and updates.
**Basic or Premium for staff plus remote volunteers?**
Chat, shifts, clock-in, timesheets → Basic. Owned tasks, news feed, forms, PTO, calls, wiki → Premium.
**How do we compare to Connecteam?**

One app for the mission week — not a chat, a clipboard, and a Facebook post
Twenty-five people. Two programs. One price. Chat that isn’t a hub. Owned tasks that survive the weekend. Updates that land next to the roster.
