Tasks live in Spaces

Every task list belongs to a Space. A Space is a room with a member list — a branch, job site, floor, warehouse, hotel department, kitchen, or managers-only pod. Turn Tasks on for that Space; people see work that belongs to the Spaces they are in (plus private tasks assigned to them).

That is why multi-site ops stop mixing Boston closing work into New York’s opening checklist. One Space per site or crew is the usual pattern. An Everyone Space can carry company-wide items (profile setup, policy review, all-hands prep) when you want one shared list. Spaces are unlimited on Basic and Premium — rooms, not billed hubs. How it works: create and assign a task

On the Tasks screen for the Space, use Create Task. Set:

  • Title — short and action-based (“Review this week’s schedule,” “Complete kitchen closing checklist,” “Inspect scaffolding before start”)

  • Description — optional context the title alone cannot carry

  • PrivacyPublic (Space members can see it) or Private (owner + assignees only)

  • Assign people — one person or several

  • Due date — optional date + time when timing matters

Save. Assigned people can open the task on web or mobile and mark it complete when done.Typical uses that replace sticky notes and chat-only reminders: opening/closing checklists, prep work, maintenance follow-ups, inventory counts, onboarding steps, schedule review reminders, site safety checks, meeting prep, and small daily to-dos that actually need an owner.

How it works: list, filters, and task details

The main Tasks screen shows the Space list with:

  • All tasks filter — focus on everything vs “mine”

  • Status filter — open, completed, overdue, or any

  • Refresh — reload after edits

  • Rows with title, assignee avatar, and a completion circle/check

Open a row for details: title, description, public/private, Space name, due date (including past-due), task owner, assigned people, and delete/close controls.

Managers scan incomplete and overdue work before they chase people in chat. Employees open “assigned to me,” read the description, and complete from the phone on the floor.

Public vs private

Public tasks are visible to Space members — useful when transparency helps (“Prepare for team meeting,” “Review this week’s schedule,” shared opening checklist).

Private tasks stay with the owner and assignees — useful for HR/document follow-ups, personal onboarding, or one-person action items that do not need an audience.

Same Space, two privacy modes. Pick based on whether the whole room should see the work.

Permissions

Inside Space settings, enable Tasks and set who can:

  • Create tasks (Everyone / Admins & Managers / Admins Only)

  • Modify tasks (often tighter than create — Admins Only is common so floor staff do not delete each other’s work)

Most 11–80 teams let members create reminders and keep modify locked to managers. Turn Tasks off on Spaces that should stay roster/chat-only.

Tasks on Premium — how they fit the week

Tasks are a Premium ($4) feature. Basic ($2.50) already includes org-wide chat, shifts, clock-in, timesheets, directory, and unlimited Spaces. Premium adds Tasks plus forms, Time Off, calls, news feed, wiki, analytics, and SSO — still one seat price, still unlimited Spaces. Trial includes everything so you can run real assignments before you commit seats.

Mobile + web

Frontline completion happens on mobile. Employees view assigned tasks, open details, check due dates, mark complete, and get notifications without a laptop. Managers create and review from mobile when they are on site; web is fine for bulk review and Space setup. Same Pebb login as chat, shifts, and clock-in.

Honest limits

Read these before you migrate:

  • No free plan. Budget Basic ($2.50) or Premium ($4) seats. Tasks need Premium. Evaluate with the full trial, no card.

  • No payroll, LMS, or ATS. Tasks are action items with owners and due dates — not a full project portfolio tool, learning system, hiring desk, or paycheck engine.

  • GPS is a stamp ± optional near-branch on clock-in, not live breadcrumbs.

  • Not Jira / Asana depth. If epic hierarchies, story points, and external stakeholder boards are why you bought a specialist PM desk, keep that requirement on the table.

  • Space-scoped on purpose. Work stays with the room that owns it; use Everyone for true company-wide items.
