Knowledge Library lives in Spaces

Every Knowledge Library belongs to a Space. A Space is a room with a member list — a branch, job site, floor, warehouse, hotel department, kitchen, or managers-only pod. Turn Wiki on for that Space; people see topics and documents that belong to the Spaces they are in.

That is why multi-site ops stop dumping every SOP into one Drive folder nobody can search. One Space per site or crew is the usual pattern. Chat stays org-wide outside Spaces on purpose. A “where’s the attendance policy?” ping can start in chat; the durable page still lives in the Everyone Space Wiki — not as twelve disappearing WhatsApp screenshots. How it works: topics, search, New Topic

Open Wiki inside a Space. The main screen is that Space’s Knowledge Library — a list of topics (categories). You get:

  • Search topics — find a category by name or content

  • Refresh — reload after someone creates or renames a topic

  • Topic count — how many topics sit here

  • New Topic — add a category (Onboarding, Policies, Safety, Store Ops)

  • Topic image / icon, title, description, and document count

  • A three-dot menu on topics for edit/delete (when permissions allow)

Name topics the way the floor thinks: “New Employee Onboarding,” “Organization Policies,” “Safety & Compliance,” “Store Operations,” “Housekeeping Standards.” Keep titles short so search and mobile scanning work.

Typical topic sets that replace scattered PDFs and pinned chat: onboarding packs, attendance and communication policies, site safety rules, retail opening/closing playbooks, hotel room standards, warehouse checklists, and kitchen procedures.

How it works: open a topic, document list, Create Doc

Click a topic to open its document list. At the top you get:

  • Back to the topic list

  • Topic title and description

  • Search documents — find a page inside this topic

  • Refresh and document count

  • Create Doc — start a new written page (when permissions allow)

Documents show as rows/cards with title, short preview, author, and created/updated time. Example policies inside Organization Policies: Attendance & Punctuality, Communication, Time Tracking. Example onboarding page: Your First Day Guide.

Open a document for the full page: headings, paragraphs, lists, links, images, videos, GIFs, and attachments. Copy link shares into chat, news feed, or a task. Edit opens the rich editor. Delete removes the page — keep modify rights tight. Author and “edited by” sit at the bottom so ownership is obvious.

How it works: the document editor

Create Doc or the pencil opens the editor. You get a title field, rich toolbar, content area, Cancel, and Save.

Toolbar highlights that matter on the floor:

  • Bold / italic / underline / strikethrough / highlight

  • H1 / H2 / H3, bullets, numbered lists, quote, code, divider, alignment

  • Links, images, videos, GIFs, file attachments

Write “Attendance & punctuality” as a readable page. Attach the signed PDF handbook if people still need the download. Add a short training video when seeing the process beats another wall of text. Save when the page is ready for the Space.

How it works: permissions

Inside Space settings, enable Wiki (“Central hub for documents, guides, and policies”) and set who can:

  • Create topics — Everyone / Admins & Managers / Admins Only

  • Modify topics — often tighter than create (Admins Only is common so categories do not get deleted by accident)

  • Create documents — Everyone / Admins & Managers / Admins Only

  • Modify documents — often Admins & Managers so day-to-day owners can update SOPs without opening every edit to the floor

A setup that sticks for 11–80 teams: Everyone can create, Admins only modify topics, Admins & Managers modify documents. Floor staff contribute checklists; managers keep the tree and official policies clean. Turn Wiki off on Spaces that should stay roster/chat-only.

Upload the handbook PDF to Files. Write “Attendance & punctuality” as a Knowledge Library article. Upload the inventory spreadsheet to Files. Write “How to complete the inventory count” in Knowledge Library. Same Space, two tools — storage plus readable SOPs.

Use cases that stick

  • Policies — attendance, communication, time tracking, dress code, PTO rules in an Everyone or HR Space

  • Onboarding — First Day Guide, how to use Pebb, who to ask, profile setup

  • Safety SOPs — job-site rules, PPE, incident reporting per construction Space

  • Store / hotel / warehouse playbooks — opening/closing, room standards, forklift rules, kitchen cleaning

Retail opens the Store Opening Guide from the phone before a morning shift. Housekeeping checks Room Standards on the floor. Construction opens Site Safety Rules before work. New hires read First Day Guide without pinging five managers.

Knowledge Library on Premium — how it fits the week

Knowledge Library / Wiki is a Premium ($4) feature. Basic ($2.50) already includes org-wide chat, shifts, clock-in, timesheets, directory, and unlimited Spaces. Premium adds Wiki plus forms, Time Off, tasks, calls, news feed, Files, Events, analytics, and SSO — still one seat price, still unlimited Spaces. Mobile + web

Frontline access happens on mobile. Employees browse topics, search documents, read policies, open media and attachments without a laptop. Managers edit from the phone on site; web is fine for bulk topic setup and long policy drafts. Same Pebb login as chat, shifts, and clock-in.

Honest limits

Read these before you migrate:

  • No free plan. Budget Basic ($2.50) or Premium ($4) seats. Knowledge Library needs Premium. Evaluate with the full trial, no card.

  • No payroll, LMS, or ATS. Wiki is guides and policies — not a learning platform with courses, hiring desk, or paycheck engine.

  • GPS is a stamp ± optional near-branch on clock-in, not live breadcrumbs.

  • Not Confluence / Notion depth. If you need nested databases, public external wiki, and enterprise knowledge graphs as the buying reason, keep that requirement on the table.

  • Space-scoped on purpose. Documents stay with the room that owns them; use Everyone for true company-wide policies.
