Files live in Spaces

Every file library belongs to a Space. A Space is a room with a member list — a branch, job site, floor, warehouse, hotel department, kitchen, or managers-only pod. Turn Files on for that Space; people see documents that belong to the Spaces they are in.

That is why multi-site ops stop dumping every PDF into one shared drive nobody can search. One Space per site or crew is the usual pattern. Chat stays org-wide outside Spaces on purpose. A “send me the menu again?” ping can start in chat; the durable copy still lives in the Kitchen Space Files folder — not as twelve disappearing WhatsApp attachments. How it works: Main Folder, folders, upload

The main Files screen for a Space starts in Main Folder — the top of that Space’s library. You get:

• Search files — find by name inside the current folder

• Refresh — reload after someone uploads or renames

• Item count — how many folders + files sit here

• Create Folder — group by topic (HR, Safety, Menus, Plans)

• Upload File — add a PDF, spreadsheet, image, or other supported file

• Folder descriptions so people know what belongs inside

• A three-dot menu on folders and files for rename/move/delete (when permissions allow)

Name folders the way the floor thinks: “Company HR Files,” “Safety,” “Opening checklists,” “Site A plans.” Name files so search works: Employee-handbook.pdf, April-sales-report.xlsx, Safety-checklist.pdf — not final_v3_REAL.pdf.

Typical uploads that replace chat attachments and personal drives: employee handbook, PTO policy, branch product guides, restaurant menus and allergen sheets, hotel room standards, construction drawings and permits, warehouse inventory sheets, meeting summaries, supplier lists, and training PDFs.

How it works: permissions

Inside Space settings, enable Files (“Share files and documents with full control”) and set who can:

• Upload files — Everyone / Admins & Managers / Admins Only

• Modify files — often tighter than upload (Admins Only is common so the library does not get deleted by accident)

A setup that sticks for 11–80 teams: Everyone can upload, Admins only can modify. Floor staff drop photos and reports; managers keep the tree clean. Turn Files off on Spaces that should stay roster/chat-only.

Files vs Knowledge Library

Files store uploaded documents — PDFs, spreadsheets, images, packs people already have.

Knowledge Library is for written guides, policies, and onboarding pages people read inside Pebb.

Upload the handbook PDF to Files. Write “Attendance & punctuality” as a Knowledge Library article. Upload the inventory spreadsheet to Files. Write “How to complete the inventory count” in Knowledge Library. Same Space, two tools — storage plus readable SOPs.

Files on Premium — how they fit the week

Files & Links are a Premium ($4) feature. Basic ($2.50) already includes org-wide chat, shifts, clock-in, timesheets, directory, and unlimited Spaces. Premium adds Files plus forms, Time Off, tasks, calls, news feed, wiki, analytics, and SSO — still one seat price, still unlimited Spaces. Trial includes everything so you can build a real library before you commit seats.

Mobile + web

Frontline access happens on mobile. Employees browse folders, search, open PDFs, and pull the latest menu or safety sheet without a laptop. Managers upload from the phone on site; web is fine for bulk folder setup and renaming. Same Pebb login as chat, shifts, and clock-in.

Read these before you migrate:

• No free plan

• No payroll, LMS, or ATS. Files are shared documents — not a full document-control system, learning platform, hiring desk, or paycheck engine.

• Not Google Drive / SharePoint depth. If you need complex external sharing, version trees across vendors, and enterprise DLP as the buying reason, keep that requirement on the table.

• Space-scoped on purpose. Documents stay with the room that owns them; use Everyone for true company-wide files.
