Forms live in Spaces

Every Digital Forms board belongs to a Space. A Space is a room with a member list — a branch, job site, floor, warehouse, hotel, restaurant, or managers-only pod. Turn Digital Forms on for that Space; only members of that Space see and submit those forms.

How it works: create and publish a form

On the Digital Forms screen for the Space, use Create Form. Give the form a title and description people will actually understand on a phone (“Team Feedback Survey,” “Opening checklist — Store 12,” “Incident report”).

Form settings that matter in real ops:

• Mandatory vs optional — mandatory when every Space member must submit (tax files, safety confirmation, onboarding). Optional when feedback or a one-off request is enough.

• Allow multiple submissions — on for recurring checklists, inspections, incident reports, maintenance requests, inventory counts. Off for one-time onboarding, uniform sizes, annual feedback.

• Due date — when the submission window has a real deadline.

• Notifications — so people know a form is waiting without another personal-number ping.

The builder is for structured employee submissions — not a public marketing form tool and not a full LMS quiz engine.

Employees open the Space, tap Fill form, complete the fields (including file uploads from mobile), and submit. Web is fine for desk work; mobile is where frontline submissions actually happen — store door, warehouse aisle, construction gate, hotel floor.

Managers open the form card to see response count, who submitted, and who has not — especially useful for mandatory forms and compliance-style packets. Filter forms by status on the dashboard so published required work does not hide behind optional surveys.

Permissions

Inside Space settings, turn Digital Forms on or off for that room. Customize who can create, modify, and view responses so sensitive submissions stay tight:

• Who can create forms (often Admins & Managers)

• Who can modify published forms (usually tighter than create)

• Who can view responses (Managers/Admins vs broader visibility when the form is operational, not HR-sensitive)
