Free Employee Shift Schedule Template (Excel + How Teams Outgrow Spreadsheets)

James Dean

You searched employee shift schedule template or free shift schedule spreadsheet because you need a week on the wall — names, days, sites — without buying software first. Fair. Below is a simple weekly rota you can paste into Excel or Google Sheets today.

This page stays honest after the copy-paste: when a free spreadsheet rota is enough, when it cracks for 11–80 person multi-location teams, and what changes if you move the published week into an employee app instead of living in “Final_v3.xlsx.”

Pebb is an all-in-one employee app (Connecteam-class): published shifts next to org-wide chat, GPS clock-in, and unlimited Spaces. Basic is $2.50 per user per month; Premium is $4. There is no free plan. Trial is the full product, no credit card. GPS on clock-in is a stamp ± optional near-branch — not live breadcrumbs. No payroll, LMS, or ATS.

How to use it for one week

  1. Duplicate the sheet tab → rename `Week of YYYY-MM-DD`.

  2. Fill assigned cells first; leave OPEN rows for gaps you still need to fill.

  3. Put the owner’s name in the sheet title or a cell at the top — one editor, not three copies in email.

  4. Share view-only with the floor if you must; edits stay with the scheduler.

  5. Screenshot or PDF the published week into the team chat *once* — then stop editing that copy.

That is a legitimate free employee shift schedule template. It is not a product. It is a grid.

When an Excel / Sheets template still works

Keep the free spreadsheet if most of this is true:

  • Under ~10–12 people, one site, one person owns the file.

  • A screenshot of the week is enough for the floor.

  • You do not need mobile clock-in, open-shift pickup with a claim button, or leave visible against the roster.

  • Late call-outs are rare and already resolve in one thread everyone sees.

  • Site two does not exist yet — or it is still the same five people wearing different hats.

If that is you, stop reading marketing pages and run the table above. Spreadsheets are not stupid. They are just limited.

When the free template breaks (11–80, multi-location)

The crack usually shows up as tax, not a dramatic outage.

Version hell. Two managers edit two Drive copies. Someone prints Tuesday’s PDF on Friday. Conditional formatting is not a publish action.

Open shifts become a group chat. “Anyone free Saturday?” lands in WhatsApp. The closer was never invited. The sheet still shows OPEN while three people already said no in a side DM.

Late call-outs leave no audit trail. A text at 5:40 a.m., a sticker reply, a verbal “I got it” on the floor. Monday’s timesheet rebuild is archaeology.

Visibility gaps across sites. Store A’s tab is current; Store B’s tab is last week’s colors. New hires inherit folklore about which file is “real.” Multi-location 11–80 teams feel this first — not because they are enterprise, but because one grid cannot be two rooms.

No punch next to the week. “Remember to clock in” in chat is not a timesheet. See employee clock-in app.

When three of those show up every week, you are not failing at Excel. You outgrew a free shift schedule spreadsheet. Deeper on the escape path: Excel shift schedule alternative.

Open shifts, late call-outs, and visibility gaps (the real jobs)

A template answers “who is supposed to work.” Ops pain is usually the other three jobs:

  1. Open shifts — slots that need a claim, not a name you invent at midnight.

  2. Late call-outs — same-day gaps that need a channel the whole eligible crew sees.

  3. Visibility — every site/crew seeing the same published week on a phone, not a forwarded screenshot from two versions ago.

Spreadsheet workarounds (color the OPEN row red, pin a WhatsApp message, email a PDF) work until headcount or locations make the workarounds the full-time job. That is the moment buyers start searching employee scheduling software and best shift scheduling app — not another prettier grid. Buying checklist: employee scheduling software. Honest category compare: best shift scheduling app for small teams.

How Pebb scheduling differs (without the brochure voice)

Pebb is not “Excel in the cloud.” It is the daily employee surface where the roster sits next to talk and punch.

Published shifts on Basic ($2.50/user). Build the week, publish it, let people open it on their phone. Same login as chat — not a PDF drop into a private group.

Open shifts. Offer slots for claim instead of running a volunteer thread. Assigned shifts still lock the closer and the site lead when the week is not a free-for-all.

Org-wide chat on Basic. Coverage talk leaves the side DM. The closer can actually be in the channel.

Unlimited Spaces. One Space per site, floor, or crew — rooms, not billed hubs. Store A’s roster does not drown Store B’s night crew. What are Pebb Spaces?.

GPS clock-in on Basic. Stamp ± optional near-branch when someone starts a session — not live breadcrumbs on a tracking map. Timesheets leave for payroll; Pebb does not run payroll.

Basic vs Premium in one line. Basic: chat, shifts, clock-in, timesheets, directory, unlimited Spaces. Premium ($4): calls, news feed, Time Off, tasks, forms, wiki, analytics, SSO. Product walkthrough: how shift scheduling works in Pebb.

Choose the free template when the grid is enough. Try Pebb when open shifts, call-outs, multi-site visibility, and punch need to live in one seat for an 11–80 frontline + office team. Skip Pebb for payroll, LMS, ATS, live GPS breadcrumbs, or “we only need a prettier spreadsheet.”

FAQ

Can I use this employee shift schedule template in Excel and Google Sheets?

Yes. Copy the markdown table into Sheets or Excel, duplicate a tab per week, and keep one owner. It is a free grid, not software.

Is there a free Pebb plan for the schedule?

No. Pebb has no free plan. Basic is $2.50/user/mo; Premium is $4/user/mo. Full trial, no credit card.

When should we keep the free spreadsheet?

Small headcount, one site, one owner, no mobile punch, rare call-out chaos. Leave when version hell + WhatsApp coverage + missing punch become the weekly tax.

What is an open shift vs an assigned shift?

Assigned = you already know who works. Open = slots people can claim. Spreadsheets fake open shifts with an OPEN row; apps usually give a claim action and a real publish state.

Does Pebb track employees with live GPS?

No. Clock-in can take a GPS stamp ± optional near-branch. Not live breadcrumbs.

Does the template replace employee scheduling software?

For a tiny single-site week, often yes. For 11–80 multi-location teams that need open shifts, visibility, and punch, you eventually need employee scheduling software — or you keep paying the WhatsApp + version tax.

How is this page different from your Excel alternative page?

This page is template intent — free copyable rota first, then the outgrow story. Excel shift schedule alternative is the deeper spreadsheet-escape money page. Same product; different search job.
